Child Safety and Wellbeing

1. Purpose

At Xanh, the safety, well-being, and dignity of every child in our care are our highest priorities. This policy outlines the procedures and responsibilities that ensure a safe, nurturing, and creative environment for children aged 4 to 8 participating in our art programs.

2. Scope

This policy applies to all staff, volunteers, contractors, and any individuals working at or visiting Xanh.


3. Key Principles

  • Zero tolerance for harm: We do not tolerate any form of abuse, neglect, or harm toward children.

  • Best interest of the child: All decisions and actions prioritize the physical and emotional safety of children.

  • Transparency and accountability: We maintain open communication with parents and guardians and hold all staff accountable to our safety standards.

4. Staff Responsibilities

  • All staff must pass a criminal background check and child abuse clearance prior to employment.

  • Staff are required to complete annual child safety and mandated reporter training.

  • Staff must follow appropriate boundaries when interacting with children, including:

    • No physical discipline.

    • No one-on-one interactions behind closed doors.

    • No personal contact with children outside of studio programming (e.g., texting or social media) unless authorized and necessary.

5. Supervision and Studio Rules

Children are never left unattended. A staff member must be present at all times.

All areas of the studio, including restrooms, are monitored for safety.

6. Safe Space and Behavior Expectations

  • We foster an inclusive, respectful space for every child regardless of race, gender, ability, or background.

  • Children are guided with positive behavior reinforcement. Bullying, harassment, or aggressive behavior will be addressed promptly and appropriately.

7. Health and Emergency Procedures

  • First aid kits are available and accessible at all times.

  • Staff trained in CPR and First Aid will be on site during all programs.

  • Incident reports will be completed and shared with parents/guardians for any injury or unusual occurrence.

  • Emergency contact information is kept on file for all children and must be kept up to date by families.

8. Communication with Families

  • Parents/guardians are encouraged to share concerns and are partners in ensuring child safety.

  • Regular updates, newsletters, and access to studio policies are provided.

9. Policy Review

Xanh is dedicated to maintaining a secure and joyful space where children can explore their creativity and grow in an environment that fosters their overall wellbeing. This policy reflects our commitment to child safety and will be regularly reviewed and updated as needed to ensure its effectiveness.
