Cancellations:
Class Cancellation by Xanh:
If we need to cancel a class, all registered students will automatically be transferred to the next class. Alternatively, a full refund is also available upon request.Class Cancellation by customer: Cancellation can be made 14 Days or more before the class. You will be provided with a credit note. This credit note can be applied to any future class.
Late Cancellations and No-Shows:
Please note that cancellations made less than 14 days before the class, as well as no-shows, are not eligible for refunds or credit.Makeup classes Policy:
All makeup class requests must be submitted at least 24 hours in advance by emailing hello@xanh-space.com. All requests made less than 24 hours are treated as no-shows
Each booking can be rescheduled once.
Drop-off: Please do not arrive more than 5 minutes prior to the start time of class or camp. If seeking earlier drop off time please book and register for EARLY DROP OFF
Late Pick-up: During AFTER SCHOOL, after 5:45pm late Pick-up fee will be applied. During CAMP, after 3:15pm or 5:15pm late Pick-up fee will be applied.
Strollers parking
You can park your stroller on the side of the building
Trollers are not permitted inside the studio due to space limitations.
Xanh is not responsible for any lost or stolen items
Dress code: Children should dress appropriately for the activities scheduled. Be prepared to GET MESSY.
Photography:
Photographs and videos may be taken during classes, workshops, events, or exhibitions for training and promotional purposes. You may opt in or out of photography at any time by contacting us at hello@xanh-space.com.
Camp Permit Exception: Xanh is a single purpose youth program as defined in ARTICLE 48.
Personal Belongings: Please put the child’s name on all articles of clothing, snack bags, bags, etc. Children should not bring toys, mobile phones, electronic devices, jewelry, money, or any possession of value with them to any of the programs. Children will be responsible for their belongings.

For the safety and health of all our students, please keep your child home if they have these symptoms:
Fever
Diarrhea
Vomiting
Breathing trouble, strep throat, continuous coughing
Lice or nits
Unexplained rash or ringworm
Conjunctivitis
Coxsackievirus
Children may return to class when they are symptom-free for a minimum of 24 hours without the use of fever-reducing medications

Xanh staff are not permitted to administer medication to program participants. In the event of a medical emergency, Xanh will administer first aid, CPR, and rescue in the best interest of the child. Parents/guardians will be contacted if care is administered and will be provided with an incident report. Allergy medications may be administered if directed in writing by the child’s parent/guardian (please specify on your child’s waiver form).

Parents and guardians are required to specify on XANH’S waiver and inform to respective studio by email prior to child’s first session of any special circumstances which may affect the child’s ability to participate fully and within the guidelines of acceptable behavior, including, but not limited to, any serious behavioral problems or special circumstances regarding psychological, medical, or physical conditions. Once XANH is informed, a conference will be scheduled with the parent/guardian to discuss the special circumstances and whether XANH can accommodate those circumstances.

At Xanh, we are committed to providing a safe and welcoming environment for all our customers. However, we reserve the right to refuse service to any individual or group under certain circumstances. It is important to note that our refusal of service is never based on an individual's race, religion, ethnicity, gender, sexual orientation, disability, or any other protected characteristic recognized by applicable laws.
Reasons for refusal of service may include but are not limited to:
Safety Concerns: If we believe that an individual's participation in our gymnastics programs poses a safety risk to themselves or others.
Violation of Facility Rules: If an individual repeatedly violates our facility rules and regulations, compromising the safety and experience of others.
Failure to Comply: If an individual refuses to comply with our policies, instructions, or requests made by our staff members that are essential for the safe and efficient operation of our facility.
Non-Payment: If an individual consistently fails to make timely payments for our services or programs.
Unsportsmanlike Conduct: If an individual engages in unsportsmanlike conduct, harassment, bullying, or any form of disruptive behavior towards other customers or staff.

Information We Collect: We may collect some necessary information from you and your children such as: Name, email address, phone number, and mailing address, Emergency contact details, Payment and billing information (processed securely through third-party platforms). Children’s Name, age, date of birth, Medical information relevant to class participation (e.g., allergies)
2. How We Use Your Information: We use your information to: Register students for classes and manage bookings. communicate important class updates or cancellations, process payments securely Ensure student safety and respond to emergencies. Send newsletters and updates (only with your consent)
3. Sharing Your Information: We do not sell or rent your personal information. We may share data only: With trusted service providers (e.g., payment processors or class management tools). If required by law or in the event of an emergency involving a child’s safety. All third-party service providers are required to maintain the confidentiality and security of your information.
4. Data Security: We take your privacy seriously. All personal data is stored securely, with access limited to authorized staff. We use industry-standard measures to protect your data from loss, misuse, or unauthorized access.
5. Your Rights: You have the right to:Access and update your personal information. Withdraw consent to receive marketing communications at any time. Request deletion of your data (where legally permitted). To make a request, please email us at hello@xanh-space.com
6. Children’s Privacy: We do not collect personal information directly from children. All information is provided by their parent or legal guardian. We comply with the Children’s Online Privacy Protection Act (COPPA) and all relevant New York State regulations.
7. Changes to This Policy: We may update this Privacy Policy from time to time. Any changes will be posted on our website with the updated effective date.
